Resource Scheduler: Setting up your Campaign Control Settings.

Within the Scheduler Program, each of your Campaigns' Control settings are inherited from the default settings you've set up in the Program Options. The Campaign Control Details tool in the Scheduler Program allows you to set up advanced parameters governing when your Campaigns are active (and can have time scheduled against them), how many hours are required to be worked to fulfill any contractual obligations, and how time is to be charged against them, to provide the outline Revenue Summary.

 

To access the Campaign Control Details screen (pictured above), click on the 'Campaigns' button on the main program Toolbar, or select the 'Campaign Schedule Control' entry from the system 'Tools' menu:

The Campaign Schedule Control screen will display current Scheduling details on your Campaigns - note that the Campaigns displayed are dependent on the program 'Active Campaigns Only' setting, and that the formatting, grouping and sorting of the items is dependent on your own saved preferences.

 

Available Tasks: These selections (available from the sidebar/system menu and window toolbar of this screen) provide the following functions:

 

Campaign Properties allows you to view and edit the extended properties governing Scheduling, Targets and Charging options for your Campaign.
Refresh Current View updates the display with the latest information available in the system.
Print Current Campaign Details sends the information displayed in the data grid to the selected printer. See Printing the Data Grids for more information on this option.
Preview your Print-out allows you to see what your print-out is going to look like, before you send it to the printer. See Printing the Data Grids for more information on this option.
Choose and Setup your Printer allows you to select from a list of available printers, and set any advanced printing options and requirements. See Printing the Data Grids for more information on this option.
Export Current Campaign Details allows you to export the contents of the data grid to a variety of file types. See Exporting Information for more details.
Format the Current View allows you to change the appearance of your Report, by changing fonts, grid lines, choosing, sorting and ordering your fields, and adding grouping and subtotals.
Refresh updates the display with the latest information available in the system.

 

Campaign Individual Schedule Control Settings

 

To override the default settings for your Campaigns that you defined in the Program Settings dialog, click on the Campaign you wish to edit, and select the 'Campaign Properties' option (or you can simply double-click on the required Campaign to open the settings editor window):

The settings on the 'Details' Tab, in the 'Campaign ...' group, are as follows:

 

Select Campaign: Drop-down this box to see a list of the Campaigns whose details you can edit. Click on any Campaign to select it, and open it for editing.

 

Active From: This is the date when the Campaign starts. No schedule items can be created before this date. Note that the date is originally set for the Campaign Manager program, but may be amended here.

 

Active To: This is the date when the Campaign ends. No schedule items can be created after this date. Note that the date is originally set for the Campaign Manager program, but may be amended here.

 

Calling Period between: These are the start and end times of the day that define the calling period available for your Campaign. No outbound calls will be allowed on your Campaign outwith the hours selected here, and you won't be able to create a scheduled item before the start or after the end time you specify. Again, these times are set in the Campaign Manager program, but may be amended here.

 

Display Colour Override in 'Team' Mode: This entry specifies the background colour for displaying schedule entries for this Campaign, when operating the Scheduler in 'Team' mode only - when operating the Scheduler in 'Campaign' mode, the background colour override set for your Advisor will be used.

 

 

The settings on the 'Details' Tab, in the 'Campaign Hours Target ...' group, are as follows:

 

Hours - Allocation Type/Target Hours: Drop-down this box to see a list of hourly allocation types for your Campaign, and select the one that suits you best. This entry (in combination with the 'Target Hours' entry after it) is used to calculate how much time (in hours) is required to be allocated to your Campaign within any given period of time you specify. As you select a time period on the Scheduler Calendar, Campaign information will be instantly updated to show you how many hours are required to be allocated to your Campaigns to meet the requirements you specify here. As the Scheduler also displays how much free time is available from your Advisors in the specified period, you'll be able to quickly see whether you're under- or over-resourced for the amount of work you've contracted to do in the given time period.

 

Campaign Working Days: These are the days of the week on which your Campaign is active. Check or un-check each day as appropriate to your Campaign work schedule. You won;t be able to book any schedule items to a day when your Campaign isn't being worked on.

The settings on the 'Campaign Charges' Tab, are as follows:

 

Charging Model/Rate: Drop-down this box to select the Charging Model you'll require for your Campaign. You can select to use the Global Default model selected, a one-off Total Charge, or to calculate the revenue Summary Overview total either from a Campaign, or Advisor, Hourly Rate (this figure is entered in the next field, which we be labeled depending on your selection). The charging models available here are basic - advanced charging options can be built for your Campaign using CallMap's Workflow and Reporting engine, as required.

 

Setup Charge: Where you make a 'Setup' charge to your clients for creating and configuring their Campaign, this figure can be entered here (where it's different from your default Setup charge) and will be included in Revenue Summary reporting.

 

Extras Charge/Extras - Description: These fields allow you to define any Campaign-specific charges (and descriptions) which are to appear in Revenue Summary reporting.

 

Target Revenue: This field allows you to hold a revenue 'target' figure for you Campaign (which can be compare to the actual achieved).
