Managing your Schedules
There are several methods available to you to allocate your Advisors' time to your Campaign schedules - the method to use is dependent on what type of block of time you're trying to add.
| • | New Schedule Item: This option will always be available, whether you have a Campaign or Advisor currently selected, and will open the 'Schedule Item Properties' dialog box: |
If you haven't a Campaign (or your 'Non-Availability' Code), or an Advisor selected, the dialog will open with these selections empty (as in the picture above on the left), and you'll need to select the appropriate entries from the drop-down fields. If you have a Campaign or Advisor selected, the dialog will open with these fields pre-filled with your selection.- although you can change these selections by choosing a different Advisor or Campaign from the list, if required.
Note that when selecting a Campaign, the list of Advisors available to work on the Campaign will change, depending on the way you've set up your Security Group Memberships for Campaign Access in the CallMap Campaign and System Management programs.
In the 'Item Properties' section of the dialog box, the Start Time and End Time selected for the item depend on the Day that's currently selected on your Schedule, and the Number of Days you've selected a New Scheduled Item to default to in the Advanced Settings of your Scheduler Program Options. For example, this method allows you to quickly allocate an Advisor to a Campaign (or, as in the above example, Annual Leave) for a complete Working Week - where your Default for a New Schedule Item is set to 5 days, and you've selected 'Monday' as the start date for the item. In these cases, the Start Time and End Time default to your default Working Day Start and End times.
Note that you can change these entries to any custom values, as required, and you can also adjust the Time Allocation Percentage amount to a different percentage.
In the 'Item Notes ...' section of the dialog box, you can enter any pertinent notes to be held along with, and displayed on, the scheduled item. Notes on a item appear as following:
You can also enter (or amend) the notes on a Scheduled item in situ (on the Scheduler display), by selecting the item with the mouse, and pressing the F2 Function key.
| • | Add Selection/Add to Schedule: This option will only be available when (1) you have selected and Advisor, and (2) you have selected an area (time-slot) on the Scheduler Pane: |
Clicking on the 'Add to Schedule' will allocate the chosen advisor to the time-slot selected on the current schedule display (in the example above, 'Linda Gould' would be allocated to the selected Campaign from 12:00pm till 5:00pm).
| • | Delete/Item Properties: These options are available when you have selected a Schedule Item, or have 'right-clicked' with the mouse over the item to bring up the Context Menu. By selecting 'Delete', the item will be removed from the Schedule. Depending on your setting for the Display of Delete Confirmation Dialogs, you'll be asked to confirm the removal of the item. Note that the deletion of an item is not covered by the Undo/Redo system, and is irreversible. The 'Item Properties' selection will open the 'Schedule Item Properties' dialog box (see above), where you will be able to edit the date and time of the item, and any associated notes. |
| • | Cutting, Copying and Pasting Items: Once you've selected a schedule item (a dark border appears round the edge of a selected item), the 'Cut' and 'Copy' options will be available - the 'Paste' option will only be available if you have previously 'Cut' or 'Copied' an existing schedule item to the Windows Clipboard. You can use these options in a similar way to using text and the clipboard in your favourite word-processor. For example, you can use the following method to quickly book an Advisor's time ... Once you've selected your Campaign, and an Advisor who's available to work on that Campaign from the Resources available, draw in a period from 9:00am till 5:00pm on the Schedule pane using your mouse. When you click 'Add to Schedule', the selected Advisor will be allocated to the time you've chosen. Click on the new event that appears, and select 'Copy'. Once you've done this, click on the next day you want to allocate the selected Advisor, and click 'Paste' ... a new scheduled item will be created from the information you 'copied' - but for a different day. You can now repeat the 'select date', 'paste' process to allocate more time to your Advisor. |
| • | Find First Available Time-Slot: The 'select time-slot' tool will search through the current allocations set for your Campaign/Advisor, and find the first available time that can be scheduled. The tool looks for a chunk of time which is at least equal to the minimum time-slot value you've defined in the Advanced Settings for the Scheduler program. Once an available time-slot is found, the schedule calendar moves to that period. |
